Terms & Condition
These are the Terms & Conditions of any contract between Hifatan Tours and Safaris LTD (the provider of travel services) and you (all persons named on a booking and traveling with us). They are important, so please take time to read them carefully.
By confirming travel with Hifatan Tours and Safaris LTD, you acknowledge that you have read, understood, and agreed to the Terms & Conditions described below.

1. Booking & Payment
1.1 All services are subject to availability and are only guaranteed once confirmed in writing by Hifatan Tours and Safaris LTD.
1.2 A deposit of 50% of the total tour cost per person is required at the time of booking. Certain tours or travel arrangements may require a higher deposit, which will be communicated prior to confirmation.
1.3 Gorilla permits and other special permits must be paid in full at the time of booking and are strictly non-refundable. This payment is in addition to the standard non-refundable deposit.
1.4 The remaining balance is due 30 days before the start of your tour unless otherwise agreed in writing. In some cases, partial payment arrangements may be accepted. Failure to complete payment without prior notice may result in cancellation of your booking, and cancellation charges will apply.
1.5 For bookings made within 30 days of the tour start date, full payment is required immediately. A binding contract is formed once Hifatan Tours and Safaris LTD issues a confirmation invoice.
1.6 At the time of booking, all travelers must provide full and accurate passport details, including names exactly as they appear on passports.
2. Prices
2.1 All prices are quoted and payable in United States Dollars (USD) unless otherwise stated.
2.2 Prices quoted by Hifatan Tours and Safaris LTD are subject to change until the booking has been officially confirmed.
2.3 Unless otherwise specified, prices include:
Accommodation as per itinerary
National park and reserve entrance fees
Overland transportation
Services of professional guides and crew
Meals as stated in the itinerary
2.4 Prices do not include:
International flights
Visa and passport fees
Travel and medical insurance
Tips and personal expenses
Optional activities not listed in the itinerary
3. Cancellations & Refunds
3.1 All cancellations must be submitted in writing and become effective upon receipt by Hifatan Tours and Safaris LTD.
3.2 The following cancellation charges apply:
More than 60 days before departure: 25% of total tour cost
30–60 days before departure: 50% of total tour cost
Less than 30 days before departure: 100% of total tour cost
3.3 No refunds will be issued for unused services, late arrivals, missed activities, or early departures.
3.4 Gorilla permits and other government-issued special permits are strictly non-refundable.
4. Travel Insurance
4.1 Comprehensive travel insurance is mandatory for all travelers. Insurance must cover medical expenses, emergency evacuation, cancellation, personal injury, and loss or damage of personal belongings.
4.2 Proof of valid travel insurance may be requested before the start of the tour.
5. Health & Fitness
5.1 It is the responsibility of each traveler to ensure they are medically and physically fit for the tour or activity booked.
5.2 Travelers are advised to consult a medical professional regarding vaccinations, malaria prevention, and altitude-related health concerns, especially for Mount Kilimanjaro trekking.
5.3 Hifatan Tours and Safaris LTD shall not be held liable for illnesses, injuries, medical conditions, or health complications that may occur during the safari, trek, or tour.
6. Passports & Visas
6.1 All travelers must possess a valid passport with at least six (6) months validity beyond the intended date of departure.
6.2 It is the traveler’s responsibility to obtain all required visas, permits, vaccinations, and travel documentation before departure.
7. Responsibilities & Liability
7.1 While Hifatan Tours and Safaris LTD takes every reasonable measure to ensure your safety, comfort, and enjoyment, travel in Africa may involve risks and circumstances beyond our control, including weather changes, wildlife encounters, road conditions, flight delays, and unexpected schedule changes.
7.2 Hifatan Tours and Safaris LTD shall not be liable for injury, illness, loss, damage, delay, accident, or inconvenience caused by third-party service providers, airlines, hotels, natural disasters, strikes, political unrest, or any circumstances beyond our reasonable control.
7.3 We reserve the right to modify itineraries, accommodations, routes, or schedules where necessary for operational, safety, weather, or practical reasons.
7.4 Travelers are responsible for safeguarding their personal belongings throughout the journey.
8. Complaints
8.1 If you are dissatisfied with any aspect of your tour, please notify your guide or our local office immediately so that we may attempt to resolve the issue promptly.
8.2 Any complaints not reported during the tour must be submitted in writing to Hifatan Tours and Safaris LTD within 14 days after the completion of the tour.
9. Governing Law
9.1 These Terms & Conditions shall be governed and interpreted in accordance with the laws of the United Republic of Tanzania.
9.2 Any disputes arising from these Terms & Conditions shall be subject to the jurisdiction of the courts of Tanzania.
